Iconik’s review and approval features provide a powerful way to keep feedback clear and projects moving, all within the context of your asset management operations. In the Review Experience, we’re taking this even further by providing a set of tools that give you more control, more context, and more opportunities for collaboration. These updates make review smarter, more secure, and more connected to the way creative work actually happens.
When sharing, you can curate playlists and collections that preserve the narrative flow of your work and share them with confidence. Once a review begins, the player view supports real-time, interactive sessions where everyone sees the same frame at the same time. You can scrub through video in total sync, zoom or pan together, and add precise comments and annotations that are instantly visible to the entire group. This turns scattered notes into synchronized conversations where decisions are made faster, ideas spark in real time, and projects move forward without delay.
To keep collaboration clean and focused, you can also separate internal feedback from client-facing threads. Internal-only comments allow your team to discuss challenges candidly and resolve issues behind the scenes without exposing the creative process to external reviewers.
From the My Shares page, all users have complete visibility and control over their shares. They can set time-boxed access and expiration rules, filter shares by creator, date, or request type, and track review progress while managing permissions with precision. This ensures that sensitive work reaches only the right people and expires automatically when it should, giving project managers and admins peace of mind.

Roles
These are all the roles that are related to shares:

- can read shares
- can write shares
- can delete object shares

Share Links
Each recipient of a share link receives a unique share link in an email. This can be tracked, and you will be able to see how many times a unique recipient uses the link.
The link should not be shared by users, instead, add each user to the share, and they will get their own unique link which you can track
The exception to this is if you manually generate a sharable link that you can copy and paste where you like. We would advise to use the built in functionality for sending out shares instead of distributing links that you generate yourself.
Share Expiration
Shares will always expire. The maximum length of time that they can be set is defined by an Domain Owner up to a length of 5 years.
Admin Share Management
Domain Owners can manage individual shares from the admin share management page, and individual assets and collections can have their shares managed from their sharing panel.
Configuring Default Functionality
Domain Owners can set what functionality is available when a user is creating a share, and what functionality is enabled by default. This is done under the System Share Settings.
Changes made to the functionality only apply to shares created after the change.
