The Iconik Review Experience enables you to share playlists, collections, or single assets for review and approval.
Single-asset shares are optimized for speed and simplicity. Single-asset share participants bypass list or gallery views and are taken directly to the player view, making it quick and intuitive to access, play, and comment on content.
You can share assets with:
- Internal users – anyone who has an Iconik account in your domain.
- External users – by entering their email addresses or copying a share link to send them a secure review.
Roles
These are the roles that are needed:
- can read assets
- can search
- can read shares
- can write shares
Ways to share an asset
Single assets can be shared from several areas in Iconik:
Search Results, Asset page or Collection Pages.
Sharing from the Search Results
- Go to Search and find the asset you want to share.
- Select the asset and click Share (or right-click and choose Share Asset).
- The Share Dialog will open.
- Configure the options (see below) and click Send.
Sharing from the Asset page
- Click the Share button in the top right corner.
- The Share dialog will open.
- Configure the options (see below) and click Send.
Sharing from the Collection page
- Open a Collection and locate the asset.
- Click Share or use the gear menu and choose Share Asset.
- The Share Dialog will open.
- Configure the options (see below) and click Send.
Add Participants to a share
- Go to My Shares.
- Locate the Asset share and click the ⋮ (three-dot) menu.
- Go to the Participants tab. (This tab is only available for shares that were initially sent via email.)
- Click + Add Participants and select users or enter email addresses.
Share Dialog
The modal share dialog enables you to customize how a share is delivered and what actions recipients can take. When you send a share, Iconik will email each recipient with a unique link to the asset. Alternatively, you can generate a shareable link to send manually.
You can customize the following settings in the Share dialog for each share.
Note: Some settings may be managed or restricted by administrators for your domain. If an option is unavailable, it has likely been disabled globally.
Basic settings
- Users or e-mails: Begin typing to select internal users, or enter external email addresses to invite new participants.
- Custom title: Overrides the default asset title in the recipient’s view.
- Share expiry: Defines when the share will expire and become inaccessible.
- Allow download: Let recipients download the Asset. (The share link will only allow download from assets that have an original on Cloud storage of type “files”.)
- Allow download Proxy: Let recipients download a proxy version of the asset.
- Allow upload: Disabled for single asset shares. Only available when sharing collections.
- Set Password: Adds a password requirement for accessing the shared link.
Advanced settings
- Approvals: Allow users invited by email to approve or reject assets
- Add comments: Allows recipients to add time-based comments on media.
- Approve comments: Enables recipients to mark comments as completed or approved.
- View versions: Allows recipients to toggle between available asset versions.
- Transcriptions: Grants access to view the transcription panel if available.
- Watermark: Displays watermarks on shared content.
- Asset metadata: Lets you select a metadata view accessible to the recipient.
Once configured, click Send to email the share, or choose Generate Shareable Link if you prefer to distribute it manually. (E.g., if you want to share a link via Slack.)
Participant experience
Participants receive an email invitation with a link to the shared asset. If a password is required, they’ll be prompted to enter it before access is granted.
Shares open directly in the asset player, where participants can:
- Play back the asset in full resolution or proxy.
- Add comments or mark comments as resolved (if permitted).
- Toggle between available versions.
- Add your approval on the asset (if permitted).
- View transcripts and metadata (if enabled).
This streamlined experience minimizes clicks and provides an intuitive interface for external reviewers and collaborators.
