The Iconik Review Experience supports both shared playlists and shared collections. A shared playlist is designed for ordered, sequential review. It allows you to curate assets in a specific order, enabling reviewers to follow the narrative flow of your work from start to finish.

Furthermore the shared playlist represents the latest version of the selected assets in the selected order, which means the share recipients will review the assets in the decided order. 

Users are able to create and share playlists with anyone who has an account on iconik, or with people outside of iconik via email.

Roles

These are the roles that are needed:

  • can read assets
  • can search
  • can read shares
  • can write shares

Sharing Playlists

In the Iconik review experience assets are shared as Playlists, and Collections and Playlists can be shared in different ways:

1. Sharing from the Asset Page

  1. Go to the Asset you want to share.
  2. Click the Share Button or click on the gearbox menu and select Share.
  3. This will open the Share dialog.
  4. See further down what the options mean.

2. Sharing from the Search Results

  1. Search for the Asset you want to share.
  2. Select the asset and click the Share Button or right-click on the asset and select Share.
  3. This will open the Share dialog.

3. Sharing Multiple Assets 

  1. Select the assets you want to share from your Collection or by using the Search.
  2. Click the Share Button, right-click or CTRL+click on one of the selected assets and select Share.
  3. This will open the Share dialog.

Tip: If you want to share out multiple assets that can not be gathered from the same search result, create a collection, add the assets to the collection and create collection share.

4. Sharing from My Shares

  1. Go to My Shares
  2. Click the three dot menu on the playlist you want to share
  3. Go to the participants tab
  4. Select +Add participants
  5. Choose participants from the dropdown

Share Dialog

This modal dialog let’s you create a share that will be emailed out to the recipients. If you want to create a link that you can send around, please see sharable link.

Note: the following options can be controlled by administrators of your iconik instance and will override what you are able to choose here

  1. Users or e-mails: Select the users by starting to type their name, or if they are not in the list or it’s an external user then type in their email address.
  2. Custom Title: A title that overrides the title of the asset when viewed by the recipient.
  3. Share Expiry: Set a date when the share will time out.
  4. Allow download: will let the user download the Asset. It will only allow download from assets that have an original on Cloud storage of type “files”.
  5. Allow download Proxy: will let the user download the Proxy version of media assets.
  6. Allow upload: only available for sharing collections.
  7. Set Password: Optionally choose a password that they have to enter when using the share. 

Advanced settings

  1. Allow approvals on assets will let users approve or reject
  2. Add comments: will let the user add comments.
  3. Make comments completable the ability to complete a set of comments
  4. Show all users in mentions: If they mention someone in their comment, we will show the users list. Only shows if an administrator allows it
  5. Transcriptions: will let the user view transcriptions.
  6. Watermark: will let the user view watermarks.
  7. Asset metadata: Optionally choose a metadata view that they will have access to.
  8. Click SEND to send.

This will send out an email to all users that have been selected. Alternatively you can generate a sharable link.
