Manage your shares gives you an overview of how you can update and change your shares to ensuring sensitive material stays secure and organized. Shares can be administrated from the list of collections and playlists in My Shares.
Domain Owners can also administrate all shares from the Domain Owner Share Management page.
Roles
These are the roles that are needed:
- can read assets
- can read shares
- can write shares
- can manage shares
Playlist Share Management
The Playlist tab on the Share management page gives an overview of all assets included in the playlist, and this is where users are able to re-order, add new or remove assets from the playlist.
- To edit the playlist share, click the three dot menu at the top and select Edit share. This will take you back to Share management.
- To go back to the shares overview, click My Shares at the top left of the screen.
- To add or remove participants from the shared playlist, go to the Participants tab.
- To add more assets to the playlist, select +Add asset. Browse the list of available assets, or use the search field to find new assets to add.
Collection Share Management
To edit the collection share, click the three dot menu at the top and select Edit share. This will take you back to Share management. The settings tab on the collection share management page provides an overview of the settings adjustable for collections. As opposed to Playlist settings the collection settings also includes:
- Upload storage
- Toggle between assets with multiple versions
- To add or remove participants from the shared collection, go to the Participants tab
- To go back to the shares overview, click My Shares at the top left of the screen
Change Share Users and Properties
Besides administrating collection and playlist share participants from within My Shares, this can be managed in your collection or on an asset in iconik.
- Visit the Asset Page or the Collection page for the share that you want to administrate.
- On the left click the Sharing button to open the Sharing panel.
- All the shares will be listed.
- Click on three dot menu for the share you want to change
- Select Edit Share which brings you to Share Management where Participants and Settings can be edited.
Pre-generated Share link
If you need to get access to the share link that was generated at the time of sharing you can do this from the Share panel. This can only be done for those links generated at the time of sharing. When you instead use the built-in functionality that will email out the links to recipients, we generate a unique, more-secure link to each recipient and those links can not be retrieved for security reasons.
- Visit the Asset Page or the Collection page.
- On the left click the Sharing button to open the Sharing panel.
- All the shares will be listed.
- Press the copy URL icon to get the link.
