Brand Portals give you a clean, on-brand URL for sharing finished assets with clients, partners, or internal teams — without a need for an Iconik account or making them dig through folders.
Instead of sending a handful of separate share links - one per asset or per collection - you add all the relevant assets to one Portal, apply your own logo, colors, fonts, and cover image, and share it as a single URL. The person you share it with just sees a polished gallery of your content, not the Iconik interface.
Where is it?
Once Brand Portals is enabled for your account and you have permission to view it, a Portals tab appears in the top navigation.
Controlling Access to Brand Portals
Brand Portals are available for accounts on Pro and Enterprise plans (with a cap on Pro). Brand Portals can at anytime be disabled for the account via the feature toggle in Admin.
- An account Owner goes to Admin > System Settings and toggles Brand Portal to OFF.
- If the feature toggle is ON, access follows your default roles for users NOT in custom role groups. The default roles means that Browse users can view Portals, and Standard and Power Users can create them.
- Owner can adjust role group access under Admin > Role Groups — select a role group, open the Roles section, click Advanced view, and adjust the Portals permissions as needed. The relevant Portal permissions are read, create, write, delete, and edit. Editing Portal appearance (on-brand colors, fonts) also requires the separate “theme” permissions (read, write, delete).
Creating a Portal
- Open the Portals tab in the top navigation.
- Click New Portal.
- Give it a name, and a description (optional).
- Start adding assets and customizing the look (see below).
Customizing a Portal
Each Portal can be branded independently, so a client-facing Portal can look nothing like your internal Iconik interface — or like another Portal.
- Logo: upload your own, or pick one already saved in your Iconik library.
- Cover image: upload or select an image to use on the Portal's cover page.
- Colors and fonts: choose from a predefined theme, or fully customize the background color, primary and secondary accent colors, text accent, light/dark mode, and font.
- Save your theme: once you've built a look you like, save it as a theme so you, or others in your domain, can reuse it across other Portals. Saved themes are managed under Admin > Settings > Themes.
Adding assets to a Portal
There are two ways to add assets to a Portal:
- From the Portal itself: open the Portal and use the Manage Assets modal. The left side shows your full Iconik library (collections, subfolders, and individual assets); the right side shows what's currently in the Portal. Drag assets across to add them, and reorder or remove them from the right-hand side.
- From an asset's context menu in Iconik: right-click (or use the context menu) on any asset in Iconik and choose to add it to a Portal, the same way you'd add it to a collection.
This makes it easy to pull assets from several different collections into one Portal, so you can share everything a client needs with a single link — instead of sending multiple separate share links.
Sharing a Portal
Once your Portal is set up, you can share it in a couple of ways:
- Share via URL: generate a link that's either open to anyone on internet with the URL, or protected with a password.
- Invite by email: send access directly to specific people.
- Set an expiry date: choose when the share should stop working.
- Control downloads and watermarking: decide per share whether recipients can download assets, and whether a watermark is applied.
- Create multiple share configurations: for the same Portal, you can create more than one share link with different settings — for example, one link with a watermark and no downloads for a first look, and another with downloads enabled and no watermark for final delivery.
- Revoke access: shares can be revoked at any time to immediately cut off access - via Manage Shares in a Portal or via My Shares page. Access can be revoked for individual users via Access Control in a Portal.
As all your Portal shares appear in My Shares, labeled by type, you can find and manage them alongside your other shares.
Tracking Portal usage
Once a Portal is shared, its usage can be tracked on My Shares page. You can see the number of visits, downloads, and who downloaded what.
Keeping a Portal up to date
A Portal doesn't contain a copy of your assets — it references the assets that live in Iconik. That means:
- The latest version, automatically: if you upload a new version of an asset, the Portal always shows the current version. You never have to manually swap anything out.
- Removed or blocked assets disappear too: if an asset is removed or blocked in Iconik, it's automatically removed from the Portal as well, since the Portal was only ever pointing to it.

Can I share assets from multiple collections with a single link?
Yes — add assets from as many different collections as you like into one Portal, then share that Portal with a single link, instead of sending separate share links for each collection.
Does a Portal always show the latest version of an asset?
Yes. Portals reference the asset in Iconik rather than storing a separate copy, so whatever version is current in Iconik is what viewers see.
What happens if I delete or block an asset that's in a Portal?
It's automatically removed from the Portal. Since the Portal doesn't hold its own copy of the asset, there's nothing left to show once the original is gone from Iconik.
