Sharing Multiple Assets (Legacy)

It is possible to share multiple assets at once out to a one or more recipients.

Roles

These are the roles that are needed:

  • can read assets
  • can read shares
  • can write shares

How to select the assets for sharing

  1. Go to the search page and search for the assets that you want to share.
  2. Select multiple assets either using Apple+Click or using SHIFT+click.
  3. Click the Share Button, right-click or CTRL+click on one of the select assets and choose Share.
  4. The share dialog will open. See below for more details.

Tip: If you want to share out multiple assets that can not be gathered from the same search result, create a collection, add the assets to the collection and share out the collection

This modal dialog lets you create a share that will be emailed out to the recipients. If you want to create a link that you can send around, please see the sharable link

  1. Users or e-mails: Select the users by starting to type their name, or if they are not in the list or it’s an external user then type in their email address.
  2. Message: Add a message that will be included in the email that they will get.
  3. Custom Title: A title that overrides the title of the asset when viewed by the recipient.
  4. Share Expiry: Set a date when the share will time out.
  5. Allow download: will let the user download the Asset. It will only allow download from assets that have an original on Cloud storage of type “files”.
  6. Allow download Proxy: will let the user download the Proxy version of media assets.
  7. Allow upload: only available for sharing collections.
  8. Set Password: Optionally choose a password that they have to enter when using the share. 
  9. Allow custom actions: allows the use of custom actions by the recipient
  10. Comments: will let the user add comments.
  11. Approve comments: will let the user approve any comments that are on the asset.
  12. View versions: lets the recipient view the version history of assets in the share.
  13. Show all users in mentions: If they mention someone in their comment, we will show the users list. Only shows if an administrator allows it
  14. View transcriptions: will let the user view transcriptions.
  15. View watermark: will let the user view watermarks.
  16. Metadata View: Optionally choose a metadata view that they will have access to.
  17. Click SEND to send.

This will send out an email to all users that have been selected.

Alternatively, you can use the Copy Link button to generate a shareable link to send to users directly.
