Managing AI Features in Iconik

Iconik Domain Owners can turn off any individual AI feature, such as AI Metadata Enrichment or Natural Language Search, or switch off all AI for their domain in one step. Both options live in the AI section of System Settings, where you can also review the AI Terms & Conditions that apply to your account.

Before you start

You need an Iconik account with Owner permission to manage system settings. Only authorized Domain Owners can turn AI features on or off, or accept, decline or withdraw the AI Terms & Conditions. If you don't see the AI section in Settings, contact your Iconik Domain Owner.

Turn off an individual AI feature

Use this if you want to keep some AI features and switch off others.

  1. Sign in to Iconik with a Owner permissions.
  2. Open Settings.
  3. Go to System Settings, then open the AI section.
  4. Find the feature you want to turn off, for example AI Metadata Enrichment or Natural Language Search, and switch its toggle off.
  5. Review the confirmation message and confirm the change.
  6. Check that the feature now shows as Off or Disabled.

The other AI features on your domain are not affected.

Turn off all AI features

The Allow AI features switch is a master switch for your whole domain.

  1. Sign in to Iconik with a Owner permissions.
  2. Open Settings.
  3. Go to System Settings, then open the AI section.
  4. Switch off Allow AI features.
  5. Review the confirmation message and confirm the change.

Turning off Allow AI features does two things:

  • It disables every AI feature on your domain.
  • It withdraws your domain's acceptance of the AI Terms & Conditions.

If you switch Allow AI features back on later, all individual features stay off. An administrator must accept the AI Terms & Conditions again before any feature can be re-enabled.

Limit AI to specific users

You don't have to turn a feature off to restrict who uses it. For enabled AI features, administrators can use role-groups to control which users can access AI actions. This is separate from the domain-level settings above.

Frequently asked questions

What happens if we decline or withdraw the AI Terms & Conditions? The AI features that depend on those terms won't run for your domain. Declining isn't permanent: a Domain Owner can review and accept the current terms at any time, then enable the features you want.

Can we turn AI back on later? Yes. Go to Settings > System Settings > AI, switch on Allow AI features if it's off, accept the current AI Terms & Conditions, then turn on the individual features you want.

Is our choice recorded? Yes. Acceptance, refusal and withdrawal of the AI terms are recorded, so there is a clear history of what was agreed, when and by whom.

Is our content used to train AI models? No. Customer inputs and outputs are not used by Backlight, our cloud platforms or model providers to train, fine-tune or improve shared AI models.

I'm not an administrator. How do I turn off AI? Contact your Iconik Domain Owner. Only authorized Owners can change AI settings.
