Search filters help you narrow down your results by things like storage, dates, people, or tags. As you add filters, the list of options updates to match what's actually in your Iconik library.
Roles
These are the roles that are needed:
- asset
- search
Using search filters
You can find the filters by going to the search page then:
- Login and go to Search.
- Click on the Filters icon
on the left navigation bar to open the Filters panel.
- Pick the filters you want, results update automatically.
- As you apply the filters the list of filters is faceted down to show what is available for the current search result. Active filters also appear as Filter Chips below the search bar.
Include, exclude, all, any
Some filters let you fine-tune how values are matched:
- Include shows matching results; Exclude hides them.
- All of means a result must match every value you picked; any of means matching just one value is enough.
Example: on Stored In, you could include Storage A and exclude Storage B to find assets on one but not the other.
Filter Chips
Once you apply filters, they show up as chips above your results, so you can see everything that's active at a glance.
- Click a chip to change its value or matching option, without opening the full panel.
- Click the eye icon to temporarily turn a filter off — it's remembered, so you can turn it back on.
- Clear filters removes everything; Save turns your current filters into a saved search.
Common filters
Date Created
Find assets from a specific time period — for example, everything uploaded last week, or pick a start date, an end date, or both.
Created By
Find assets by who uploaded or created them. Start typing a name and select it from the list. You can add more than one person if you want assets created by any of them.
Stored In
Find assets based on which storage location they're saved to. Select one or more storages, then choose whether to include or exclude them — useful for narrowing a search to one storage, or ruling out one you don't need (like an archive).
Transcription Text
Search inside the spoken words of a video, using its transcript. Type in one or more words or phrases, then choose whether results should include or exclude them. For example, find interviews that mention "Cat" but not "Dog."
Person
Find assets featuring specific people. Iconik's Face recognition functionality recognizes faces automatically, so you can search by name instead of scrubbing through footage. Add one or more people, then choose whether an asset needs to feature all of them together, any of them or a combination of include and exclude.
Tags
Find assets based on the tags applied to them. Add one or more tags, then include or exclude them — for example, show assets tagged "News" but hide ones also tagged "Broadcast."
Metadata Values
Filter using the custom fields set up for your organization, like Category, Headline, or Summary. First pick the metadata view (ask your admin if you're not sure which one to use), then fill in the fields you want to filter by.
Other filters
A few more filters are available depending on what's in your library: Object Type (asset or collection), Format (like MP4 or JPEG), Media Type (video, image, audio, document), and Approval Status (approved, requested, rejected).
Saving Filters
Filters can’t be saved on there own, but they are saved as part of a saved search. Please check the documentation there for more details.
Changing what is shown in filters
Administrators can change the default filters for Iconik in the Search Settings in the Admin pages.
Users can change what they see for themselves in their Search Settings.
